Job Summary:

The One Stop Student Services Advisor provides cross-functional enrollment and student financial services within Academic and Enrollment Services. In accordance with the Family Educational Rights and Privacy Act of 1974 (FERPA) regulations, in-person, email, and phone communication are provided in the areas of registration add/drop, academic records, financial aid, student accounts, and employment. Services are provided to students, parents, faculty, and staff.

Must maintain current knowledge of applicable policies and procedures regarding student accounts, financial aid, and registration. Must maintain an open communication with the other One Stop Advisors and supervisor to share updates and to assist in the training of other One Stop colleagues.

In collaboration with the Financial Aid Operations staff, provide in-depth financial aid information to students and/or parents concerning University, state, and federal aid programs, the application process, forms, and deadlines:

  • Provide one-to-one counseling to students and/or parents and setting up financial aid appointment when necessary.
  • Explain aid eligibility (including satisfactory academic progress), aid award detail, and disbursement policies.
  • Collect and review for accuracy and completeness verification materials, and documents required in completing the University, state, and federal aid process and assisting students/parents in processing the forms as necessary.
  • Accept and review for completeness: review requests and appeals; assisting students, and/or parents in completing forms and information as necessary.
  • Assist students with on-line NSLDS promissory note process.
  • Accept requests for aid history, eligibility confirmation for outside agencies, etc., and have the material available for pick-up if requested by student.
  • Supervise endorsement and deposit of personal scholarship checks.
  • Accept and review completeness of payroll forms required for employment and issue work clearance to students.

In collaboration with the Registrar's staff, advise students, parents, faculty, and staff on Family Education Rights and privacy Act of 1974 (FERPA) regulations:

  • Process in-person registrations and drop/adds. Use professional judgment to make determinations on late registration fee waivers and appeals.
  • Advise students on payments and financial aid impacts of registration changes.
  • Problem solve, answer, and address questions from students, staff and faculty regarding Web registration, drop/add and course controls (permissions, seat limits, and prerequisites).
  • Distribute and collect academic record, registration, transcript, verification, withdrawal, leave of absence, change of personal information, and duplicate diploma request forms; process these forms as appropriate.
  • Assist students and others with the completion of forms and respond to any questions regarding the purpose of the form, processing time, and notifications; collect associated fees and charges.
  • Distribute will call transcripts, diploma, and verifications.

In collaboration with the Student Accounts staff, provide in-depth student expense, payment, and account information and instruction to students and/or parents:

  • Guide students and/or parents through the on-line payment process and other published forms of payment.
  • Accept/post check deposits and payments; deposit posted checks and balance transactions at least once a day.
  • Follow up with check issues, make collection calls, and appropriately note them in the system.
  • Assist students and/or parents to enroll in the University's payment plan. Resolve problems or concerns in regard to student account billing statements and financial transactions; explain charges, credits and debits, and financial aid transactions.
  • Advise students on refund options and provide them with instructions.
  • Review student enrollment and account status before disbursing refunds checks.
  • Use professional judgment to make determinations on late payment fee waivers and appeals.
  • Prepare Statement of Accounts and post corresponding fee.

Job Responsibilities:

Accept and review requests, in reference to federal regulations, to apply aid to prior term balances; clear holds appropriately to register students.

Respond to students, parents, faculty, and staff in person, on the phone, and via e-mail or written correspondence; resolve their problems and address their concerns and issues in the areas of financial aid, student accounts, registration and drop/add; follow through on issues until resolved, providing the necessary correspondence and contacts with students, parents, and third parties; contact schools, colleges, and other departments to clarify situations as necessary; intercede and/or advocate on student's behalf.

Refer students to Graduation Center, Admission, Student Employment, schools/colleges, and other specialists as needed; schedule/re-schedule appointments with Academic Services specialists and managers when necessary. Participate in the review and revision of Academic Services student service policies and procedures and in the preparation of service publications, notices and special correspondence to groups. Participate in reviewing Academic Services websites. Represent AS student services at events for prospective, new, and enrolled students and/or their families.

Minimum Qualifications:

An earned baccalaureate degree and one or more years of customer service experience preferred. The ability to react to customers quickly, thoughtfully, and courteously; resolve challenging customer issues; and maintain composure under pressure. An appreciation of and sensitivity to diverse cultures and lifestyles. An ability to communicate effectively both orally and in writing with diverse populations. A proficiency in desktop computing (word-processing, spreadsheets, email, and the Web). Excellent organizational skills with an ability to effectively organize and prioritize multiple projects and tasks simultaneously. A proven ability to work effectively as a team member. Can work effectively under minimal supervision and can be flexible in the absence of other One Stop colleagues or during busy times. The ability to analyze and interpret data and make independent decisions based on facts and policies. The ability to work some weekends/evenings as needed and participate in commencement ceremonies and other university events. The ability to work an adjusted schedule of 9:30 am to 6:00 pm.
